Full-Time Publishing Coordinator in Oro Valley, Arizona

The Western National Parks Association (WNPA) Publishing Coordinator works closely with the Publishing Manager, under the direction of the Sr. Marketing Manager, and is responsible for facilitating the planning and execution of publishing projects. To be successful they must be able to work collaboratively with other specialists on the team developing diverse products that help fulfill the collective missions of WNPA and the National Park Service (NPS). 

ESSENTIAL FUNCTIONS

This role is responsible for completing the following tasks and any related tasks as assigned:

  • Coordinating production of publications focused on reprints and revisions, and including communicating effectively with NPS staff at the park and regional level and communicating needs to writers, editors, website and app developers, programmers, printers, designers, illustrators, and photographers inside and outside of WNPA.
  • Coordinating production of short-term institutional communications and projects that include other media.
  • Overseeing the work of vendors and independent contractors.
  • Assisting with contract development and research with external contractors, writing book specifications, soliciting and analyzing printing estimates, and checking printing proofs.
  • Copyediting and proofreading text.
  • Managing correspondence regarding internal and external publishing requests.
  • Collaborating with the team to assess the strength and viability of outside projects brought to WNPA.
  • Ensuring that published products, publications, and services meet WNPA’s defined and articulated standards of excellence, quality, and consistency.
  • Complying with WNPA and NPS policies, procedures, and practices
  • Contributing to and enhancing an environment of teamwork and communication resulting in the exchange of ideas and collaboration.
  • Performing other related duties, as assigned.

KNOWLEDGE, SKILLS, & ABILITIES

This role must possess advanced to expert knowledge of, skill in, and/or ability in the following:

  • Must possess computer skills with Microsoft Office suite of products to include but not limited to, internet, email, word processing, spreadsheets, PowerPoint, databases, desktop publishing, and project management software.
  • Excellent knowledge of computer programs including Internet, databases, Google Drive/Sheets/Docs and Microsoft Office suite (primarily Word, Excel, PowerPoint, Outlook, and SharePoint).
  • Intermediate-level knowledge of Adobe InDesign. Experience with other applications within Adobe Creative Suite are a plus (e.g. Adobe Photoshop, Adobe Illustrator).
  • Planning, organization, analyzation, problem solving, multitasking, and communication.
  • Diplomatic and effective communication, verbally and in writing, with internal employees as well as WNPA’s board of directors, visitors, members, donors, volunteers, and members of the public.
  • Interpreting instructions furnished in written, oral, diagram, or other format.
  • Making independent judgments and maintain attention throughout performance of duties.
  • Working alone and with a team.
  • Equipment including computers, printers, calculators, multiline touch tone phones, filing cabinets, photocopiers, and dollies.

PHYSICAL DEMANDS

This role must be able to meet the following physical demands with or without reasonable accommodation:

  • Primarily perform work indoors, where temperature is moderate and controlled by office environmental systems. The noise level in the work environment is usually quiet, but may become loud during times of high customer volume or special events. Occasional work may be performed outside under natural conditions. Environment will vary when outside work or travel is required.
  • Sit at a desk for up to eight hours per day. Walking and standing are occasionally required.
  • Make repetitive motions, especially of the hands and wrist (grasp, pinch, type, write) and legs and back (stand, sit, walk, bend, kneel, crouch).
  • Communicate effectively (talk, listen and hear, see both near and far with accurate depth and color perception).
  • Occasionally lift and/or move up to 50 pounds.
  • Occasionally push and/or pull up to 50 pounds a distance of about 10 feet.

TRAVEL

Occasionally required to travel to meetings outside of the office; travel to remote NPS sites may be required.

QUALIFICATIONS & EXPERIENCE

This role must have the following qualifications and/or experience unless otherwise noted:

  • Bachelor’s degree in relevant field preferred; technical certificate and/or equivalent combination of education and experience may substitute for degree.
  • Minimum two years in an office environment.
  • Experience with writing and editing is required.
  • Background in project coordination preferred.
  • Experience with Adobe InDesign, and Microsoft Office Suite required; other applications within Adobe Creative Suite are a plus.
  • Experience working with contractors engaged in writing, editing, printing, production and design, and development of content is preferred.
